In short: B2B sales prospecting means contacting companies that do not know you yet to open a sales conversation, combining email, phone and LinkedIn on a cadence set in advance. In the US, cold email to businesses needs no prior consent, but the CAN-SPAM Act applies in full: every message needs an opt-out and a postal address, and each violating email can cost up to $53,088.
Many small businesses live on word of mouth until the day it stops being enough. Prospecting then takes over, usually improvised: a purchased list, three emails, no replies, and the conclusion that “cold outreach doesn’t work in our industry.” This guide offers a simple method you can run alone or with one salesperson.
What is sales prospecting?
Prospecting covers everything a company does to go find new customers instead of waiting for them to show up. There are three kinds:
- Cold prospecting: you contact someone who has never interacted with you.
- Warm prospecting: the person has already had some contact with your business (visited your trade show booth, downloaded a guide, was referred by a client).
- Inbound follow-up: the person reached out, and you need to call back fast and qualify the need.
A prospect becomes a lead as soon as they show identifiable interest, then an opportunity when a need, a budget and a timeline take shape. Prospecting feeds the top of that funnel.
Where should B2B prospecting start?
With the target, not the channel. Most campaigns fail because they aim at “small businesses” instead of a precise profile.
Describe your ideal customer with a few verifiable criteria:
- Industry, ideally expressed as NAICS codes so you can filter a list.
- Size: employee count or revenue band.
- Geography, if you travel to clients.
- Decision-maker’s role: owner, sales director, IT manager.
- Trigger: an event that makes your offer urgent (a new location, a hiring spree, a funding round, a new regulation).
Work on your buyer persona to nail that last point. It is the most useful one for writing messages that sound right.
Build the list. The US Census Bureau’s County Business Patterns, free and updated every year (2023 is the latest data year), tells you how many establishments exist by industry, county and employee size. It sizes your market but does not give names. For those, use company websites, LinkedIn, state business registries and industry events. Purchased lists save time, but ask the vendor where the data comes from and how often it is cleaned: bounced emails hurt your sender reputation, and the legal responsibility for what you send stays with you.
Better 150 well-chosen contacts than 3,000 generic addresses.
Which prospecting channels work best?
| Channel | Strengths | Limits |
|---|---|---|
| Cheap, can be scheduled, leaves a written trail | Spam filters, low attention if the message is generic | |
| Phone | Live conversation, instant qualification | Time-consuming, gatekeepers, takes confidence |
| Professional context, profile visible before contact | LinkedIn bans automation, messages get buried | |
| Trade shows and events | Face to face, trust builds fast | Travel costs, fixed calendar |
| Referrals | Best close rate | Limited volume, depends on your network |
| Direct mail | Stands out, little competition | Printing and postage costs, slower follow-up |
Good prospecting combines three of them. Email opens, the phone speeds things up, LinkedIn makes your name familiar. Businesses whose website already draws visitors add a fourth lever, inbound marketing, which brings prospects to them.
What do good prospecting scripts look like?
A script is not text to recite. It is a structure that keeps you from forgetting the essentials: why you, why them, why now.
First email (80 words max)
Subject: your two new field technicians in Denver
Hi Ms. Martin,
I saw you’re hiring two maintenance technicians. Companies growing at that pace often lose hours on scheduling service calls. We helped a firm your size, in the same trade, cut wasted drive time in half.
Is that on your radar right now? If so, fifteen minutes would tell us whether it’s worth a closer look.
If you’d rather not hear from me again, just reply “stop.”
Paul Durand, [Company], [street address]
Call opener
“Hi, this is Paul Durand from [Company]. I’m calling because you’re hiring technicians, and that’s often when scheduling turns into a headache. I caught you out of the blue: do you have two minutes, or should I call back at a better time?”
Then ask a single open question: “How do you plan routes today?” Listen more than you talk.
LinkedIn message after connecting
“Thanks for connecting. I work with maintenance companies in the region on scheduling. I won’t send you a deck: if it ever becomes a priority, I’d be glad to talk.”
The shared principle: a specific trigger, one proof point, a light ask. Messages that list every service you offer end up in the trash.
What prospecting cadence should you follow?
No public study sets an ideal cadence that holds across industries. Here is a four-week starting sequence to adjust to your results:
| Day | Action |
|---|---|
| Day 1 | Personalized email |
| Day 3 | Phone call, short voicemail if no answer |
| Day 6 | View their profile and send a LinkedIn invite with no sales pitch |
| Day 10 | Follow-up email with something new (case study, figure, useful article) |
| Day 17 | Second call |
| Day 24 | Closing email: “I won’t follow up again, here’s how to reach me” |
Block fixed time slots in your calendar, for example two mornings a week. Prospecting rarely fails for lack of method. It fails because it gets dropped at the first busy stretch. Our sales action plan template helps you lock those slots into the year.
What are the legal rules for B2B prospecting?
Email. The CAN-SPAM Act covers all commercial email and makes no exception for business-to-business messages. It does not require prior consent, but each email must have accurate “From” and “Reply-To” information, a subject line that reflects the content, your valid physical postal address and a clear way to opt out. You must honor opt-outs within 10 business days, and hiring a vendor to send for you does not shift the responsibility. Keep a suppression list and check it before every campaign.
Phone. Business-to-business calls are generally exempt from the National Do Not Call Registry. That does not mean anything goes: in its 2024 amendments to the Telemarketing Sales Rule, effective May 16, 2024, the FTC extended the ban on misrepresentations to all B2B telemarketing. Calls selling nondurable office or cleaning supplies were already fully covered. If you use an autodialer or prerecorded messages, or text cell phones, the Telephone Consumer Protection Act requires prior express consent, and a work cell phone is still a cell phone.
UK and EU. Under the UK’s PECR, you can email employees of companies (corporate subscribers) without prior consent if you identify yourself and offer an opt-out, but sole traders and some partnerships are treated like individuals and need consent. UK GDPR and the EU GDPR also require a legitimate interest basis, clear information and the ability to object at any time.
LinkedIn. Tools that automatically send invitations and messages violate LinkedIn’s rules, and accounts using them can be restricted or shut down. Prospect by hand.
Which tools help with prospecting?
A spreadsheet is enough for the first fifty contacts. Beyond that, three kinds of tools save time:
- A CRM, which stores contacts, the history of every exchange and the follow-ups due. Our explainer on what a CRM is helps you choose;
- An email sequencing tool, which schedules follow-ups and stops as soon as a prospect replies;
- A data enrichment tool, which finds a decision-maker’s work email. Check where it gets its data and how it handles removal requests.
Before subscribing, ask the vendor three questions: where is the data hosted, how are opt-outs handled, and does the tool integrate with your inbox and your CRM? A tool that does not manage your suppression list exposes you more than it helps.
Which prospecting metrics should you track?
Five numbers are enough to steer prospecting:
- Reply rate: replies over contacts reached.
- Meeting rate: meetings booked over contacts reached.
- Close rate: clients signed over meetings.
- Cost per meeting: time spent, valued at your hourly rate, plus tools, divided by meetings.
- Time to close: average time from first contact to signed order.
A worked example with made-up numbers to replace with yours: 150 contacts, 12 meetings, 3 clients. If the campaign took 30 hours, each meeting cost 2.5 hours and each client 10 hours. At an hourly value of $75, that is $750 of time per client before tools; our day rate calculator helps you set that hourly value honestly. Compared with a client’s gross margin over a year, the math tells you right away whether prospecting pays, and which metric to fix first. A low reply rate points to the target or the message. A good meeting rate followed by few signatures points to the offer or the price.

Frequently asked questions
What is prospecting in sales?
Sales prospecting is the work of finding and contacting potential customers who do not know you yet, in order to start a sales conversation. In B2B it follows five steps: define the target, build a clean contact list, write messages for each channel, reach out on a fixed cadence, and measure results to fix what does not work. Targeting matters more than volume.
Is it legal to send cold emails to businesses in the US?
Yes. The CAN-SPAM Act does not require prior consent, but it makes no exception for business-to-business email. Every message needs honest headers and subject lines, your valid physical postal address and a working way to opt out, and you must honor opt-outs within 10 business days. In the UK, stricter rules apply to sole traders and partnerships.
Are B2B cold calls covered by telemarketing rules?
Partly. B2B calls are generally exempt from the National Do Not Call Registry, but since the FTC's 2024 amendments to the Telemarketing Sales Rule, misrepresentations in B2B telemarketing calls are prohibited. Calls selling nondurable office or cleaning supplies were already covered. If you use autodialers, prerecorded messages or texts to cell phones, the TCPA consent rules also apply.
How many follow-ups should you send when prospecting?
There is no official number. A sequence of four to six touches over three to four weeks, alternating email, phone and LinkedIn, is a reasonable starting point. Beyond that, returns drop and the risk of annoying people rises. End with a closing message that leaves the door open, and stop at once if the person asks you to.
